History
Giltbyte has been designing and building bespoke NHS solutions since 1990.
- We were first to market with a NHSPA Pension calculation system
- We were first to market with an integrated HR and Payroll system which wrapped the legacy SPS system
- We were first to market with an NHSPA Annual Benefit Calculation system
- We are currently one of the only providers of a completely bespoke time and attendance, absence, payslip and expense system which is integrated with the NHS' central payroll system ESR.
The design of the system is a collaboration between key subject matter experts working for the NHS and our experienced staff. We believe an iterative approach to software delivers a better final product as it allows client feedback as we build the solution.
The Easy system is operational in many Trusts in the West Midlands and East Anglia, and is currently being implemented in a number of others. The feedback has been extremely positive, particularly from Trusts that have had experience of using other systems. They said that our system is very powerful yet easy to use.
EASY Integrated Solution
We have a number of modules available within the EASY system that integrate with ESR, these include Time and Attendance, eForms, Finance Reports (ledger), payslip reporting as well as expenses. We receive data from ESR either through the generic interface or through Discoverer reports, to ensure that the details held within EASY are correct and up to date. Changes to data is then collected through EASY and is uploaded to ESR, either via the generic interface or web ADI, giving you the option of deciding which is the most cost effective solution for you. If you already use the generic interfaces there are no additional costs in using Easy with that existing arrangement.

Control and reporting
The history behind this module started when trusted moved to ESR. Financial Management could no longer access the Nominal Roll so we plugged this hole. Over time we have added a number of additional reports which give visibility back to the organisation. Using data uploaded by the ESR General Ledger feed the following reports are supported by the system:
- Assignment Change
- Financial Elements
- Enhanced/Overtime
- Nominal Roll (Department and Individual)
- Starters/Leavers
Database
Easy will take feeds from ESR and store data locally allowing more of the flexibility that a local payroll and HR system traditionally gave. The following data can be uploaded:
- Staff Details File
- General Ledger File
- Payslip File
- Expenses Upload File
- Expense Claims History File
All data entry and approval has full audit history including user, date and time and workstation used to update information.
Deployment
Easy has been design and built from the ground up to support the NHS as such we understand the geographic distribution of the NHS and the difficulties placed on the internal IT group supporting disparate groups of users. Easy therefore does not require end user workstation installations and is delivered via the organsations Internet browser of choice. The client workstation requirements are minimal.

Giltbyte's cloud infrastructure allows us to cheaply and efficiently support the application removing the need for local backup's, disaster recovery planning and upgrade overheads, please contact us for SLA's (Service Level Agreements) and more details.
Alternatively if a hosted solution is not preferred we can work with the authorities IT department to host internally on your infrastructure.
Workflow and Self Service
Easy modules employ standard industry workflow techniques (BPM - Business Process Modeling) to deliver the appropriate steps and control. We appreciate that one size does not fit all and therefore workflow steps and authorisation is configurable for a specific organisation. All key actions on the system can have an approval process with independent verification of user credentials. The workflow and authorisation provides control and gives management confidence to push data capture to the employee; all modules provide simple and intuitive data capture eForms. Self service has been designed to enable rapid migration of employee's onto the Easy system reducing the traditional overhead on IT or system administrators.

Costs and savings
We believe we offer the most cost effective solution today for the NHS, as an example an annual license for Expenses will be less than £10k and this is a fixed price with NO transaction costs.
The automation Easy provides from data entry (e.g. expenses claims) to the data being extracted to ESR is more efficient, it is less time consuming and less labour intensive. This will lead to savings in time and an improvement in the quality of the data, allowing those employed in, for example, the expenses process to be diverted into other areas and services. By implementing EASY it will have a positive effect on your organisation.
